- The Concierge Portal is operated and maintained on our behalf by Sports Fusion Limited. Your personal information will be processed by Sports Fusion and any subsequent supplier of these services only in accordance with our instructions.
- The Privilege Access Swipe System ("PASS") allows exclusive complimentary racecourse access for PASS Members. The system is designed to ensure quick and easy access to racecourses when required through the use of an access card, which may take the form of a physical card, QR Code or mobile app (the "PASS Card"). It also helps racecourses to enhance PASS Members’ raceday and pre-arrival experience. The Concierge Portal is the online means by which PASS Members can access and manage their details on the PASS system.

- Information you give us or others. You may give us information about you by filling in forms on the Concierge Portal or by corresponding with us via the Concierge Portal’s Helpdesk function, by phone, e-mail or otherwise. This includes information you provide when you register to use the Concierge Portal, subscribe to our service, enter a competition, promotion or survey and when you report a problem with the Concierge Portal. The information you give us may include your name, address, e-mail address and phone number, date of birth, financial and credit card information, personal description and photograph.
- Information provided to us from the British Horseracing Authority. The British Horseracing Authority may provide us with information about you, including your name, address, e-mail address, phone number, and date of birth to enable us to issue you with a PASS Card and to allow you access to the Concierge Portal. They will also provide information regarding the entry and declaration to run of any horse with which you are connected, to enable to allocation of complementary tickets by the relevant racecourse.
- Information we collect about you. With regard to each of your visits to the Concierge Portal we may automatically collect the following information:
- technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform;
- information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from the Concierge Portal (including date and time); products you viewed or searched for; page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call our customer service number.
- Information we receive from other sources. We may receive information about you if you use any of the other websites we operate or the other services we provide. We are also working closely with third parties (including, for example, business partners, industry organisations, sub-contractors in technical, payment and delivery services, advertising networks, analytics providers, search information providers, credit reference agencies) and may receive information about you from them.

- to enable our member racecourses to allocate you with complimentary access to relevant fixtures, in line with their admissions policy, terms and conditions of entry, and to contact you with information relevant to your raceday;
- to carry out our obligations arising from any contracts entered into between you and us and to provide you with the information, products and services that you request from us;
- to provide you with information about other goods and services we offer that are similar to those that you have already purchased or enquired about;
- to provide you, or permit selected third parties to provide you, with information about goods or services we feel may interest you. If you are an existing customer, we will only contact you by electronic means (e-mail or SMS) with information about goods and services similar to those which were the subject of a previous sale or negotiations of a sale to you. If you are a new customer, and where we permit selected third parties to use your data, we (or they) will contact you by electronic means only if you have consented to this by ticking the relevant box. If you do not want us to use your data in this way, or to pass your details on to third parties for marketing purposes, please do not tick the relevant box situated on the form on which we collect your data;

- to enable our member racecourses to allocate you with complimentary access to relevant fixtures, in line with their admissions policy and terms and conditions of entry;
- to enable our member racecourses to contact you with information relevant to your raceday;
- to administer the Concierge Portal and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;
- to improve the Concierge Portal to ensure that content is presented in the most effective manner for you and for your computer;
- to allow you to participate in interactive features of our service, including the Concierge Portal’s Helpdesk function, when you choose to do so;
- as part of our efforts to keep the Concierge Portal safe and secure;
- to measure or understand the effectiveness of advertising we serve to you and others, and to deliver relevant advertising to you; and
- to make suggestions and recommendations to you and other users of the Concierge Portal about goods or services that may interest you or them.

- Your information on the British Horseracing Authority’s database (the "BHA Database") will be updated to reflect changes made to your personal information registered on the Concierge Portal. In order for these changes to be made, your personal information will be shared with:
- Weatherbys Ltd (company number 00526599, registered address Sanders Road, Wellingborough, Northants NN8 4BX) who maintain and operate the BHA Database; and
- British Horseracing Authority Limited (company number 02813358, registered address Holborn Gate, 26 Southampton Buildings, London, WC2A 1AN) who own the data held in the BHA Database.
- We may share your personal information with any member of our group, which means our subsidiaries, our ultimate holding company and its subsidiaries, as defined in section 1159 of the UK Companies Act 2006.
- We may share your information with selected third parties including:
- Business partners, clients, suppliers and sub-contractors for the performance of any contract we enter into with them or you;
- Advertisers and advertising networks that require the data to select and serve relevant adverts to you and others. When we share your information with selected third parties they will process your information as either a data controller or as our data processor and this will depend on the purpose of our sharing your personal data. We will only share your personal data in compliance with the applicable data protection legislation.
